Job Description:
Our client is a back-office partner for creators and creator-led companies, ranging from solopreneurs to multi-entity production companies. They manage finance, accounting, operations, and HR so their clients can focus on building their businesses.
Our client is hiring a Senior Associate to work across accounting, operations, and HR for a portfolio of creator-economy clients. Strong QuickBooks Online skills are the foundation of this role, but the scope extends well beyond bookkeeping into AP/AR, payroll, tax prep coordination, HR compliance, and client onboarding.
This is an early hire at a fast-growing company, and scope will expand quickly for the right person.
Responsibilities
Accounting & Finance
- Own month-end close and reconciliations across multiple client entities in QuickBooks Online
- Produce monthly P&Ls, balance sheets, and cash flow statements on schedule
- Support quarterly estimated tax calculations and proactively communicate liability to clients
- Liaise with CPAs and enrolled agents to prepare for year-end returns, including organizing records and flagging issues
- Prepare and file 1099s across client entities at year-end
- Identify and flag entity structure issues, such as misclassified contractors or S-corp election problems
Operations & AP/AR
- Manage AP/AR, including vendor coordination and navigating brand payment systems and ERPs
- Coordinate payroll processing in Gusto and flag discrepancies proactively
- Follow up persistently on missing documents, signatures, and statements
- Support new client onboarding, including books assessment and cleanup
- Maintain and improve internal tracking systems in Airtable and Google Drive
HR & Compliance
- Draft and manage contractor agreements, offer letters, and onboarding documents
- Run I-9 verifications and support HR compliance as clients add W-2 staff
- Coordinate benefits enrollment and track compliance deadlines
- Liaise with attorneys and licensed professionals when matters exceed internal scope
Minimum Qualifications
- Deep working knowledge of QuickBooks Online, including reconciliations, chart of accounts, multi-entity management, and the close process
- Experience managing bookkeeping across multiple clients or entities simultaneously
- Working understanding of entity structures (S-corps, LLCs, C-corps) and the judgment to flag issues
- Strong Excel/Google Sheets skills, including SUMIFS, data cleanup, and basic financial modeling
- Professional experience with 1099 filing, payroll software, and tax prep coordination
- Strong communication skills with non-finance stakeholders
- Demonstrated follow-through on outstanding items without prompting
Preferred Qualifications
- Experience preparing individual or business tax returns; PTIN, or progress toward an EA or CPA credential
- Familiarity with Gusto, Ramp, Bill.com, or Lumanu
- Experience with entertainment, media, or creator-adjacent businesses
